I'm starting MYOB Payroll from scratch. Can I import my employee list from another program?
If you have fewer than ten employees or so, you’re probably best to simply set up your employee details from scratch. However, if you have more than ten employees and you already have their details on your computer — in a word processing document, a spreadsheet or a database — you can easily transfer your data without having to re-key a single line. The process is a little technical, but here goes: - First, make a backup of your company file. That way, if the import doesn’t work properly (a likely scenario if you’re experimenting!) you can revert to your backup.
- Go to your File menu and select Import Data, followed by Cards then Employee Cards.
- From the Import File window, choose your settings carefully.Choose either Tab-delimited or Comma-separated as your Import File Format. Tab-delimited files use tabs or columns to separate fields; comma-separated files use commas to separate fields. Then select whether your first record is a Header Record or a Data Record (most files have some kind of header record at the top). Last, assuming you don’t have any employees with identical names, select Reject Them as your Duplicate Records setting.
- Once you have made your selections, click Continue.
- In the Open File window, highlight the file you want to import and click Open.
- Choose the fields you want to import by highlighting each field in the left-hand column and then clicking in the Matching Import Field in the right-hand column.
- Click Import. (When the import is complete, an import information window pops up, detailing if any records were skipped or imported with warnings.)
Importing records with MYOB: Classic mistakeIf an import fails or is only partially successful, don’t waste time trying to undo your mistakes. Instead, quit from your company file, restore your most recent backup and start again.
