How do I check that each pay is right in MYOB Payroll?

Although you may be tempted to click Record and be done with the whole payroll process in a single mouse move, you’re best to zoom in on each pay transaction and double-check it, especially for the first few pay runs. Here are a few things to watch out for:

  1. Make sure total hours are correct. You don’t want a 40-hour week to show up on each employee’s pay if the standard working week according to their award is actually 38 hours.
  2. Regular payments such as allowances and deductions should come up automatically — if they don’t, you should edit the employee’s standard pay.
  3. You’ll have to manually add irregular payments such as overtime or bonuses.
  4. If an employee has received holiday or sick pay during this pay period, reduce the number of hours listed against Base Hourly and show the number of hours taken in Holiday Pay or Sick Pay.
  5. Review the Payment Method in the top left corner. (You can choose between Cash, Cheque and Electronic.)
  6. Make sure that the Superannuation Guarantee category appears on every pay (even if the amount next to this category is zero). The only reason for this category not to appear is if you forget to select superannuation in the employee’s setup — a big mistake!
  7. Don’t be alarmed if superannuation shows up as zero in the first or second pay period of the month; super won’t calculate until employees hit the $450 monthly threshold.
  8. Remember to record job numbers, if relevant. (Chapter 8 explains jobs and cost centre tracking in detail.)

Tip

If you find yourself making the same change to an employee’s pay every pay period (for example, changing the amount of an allowance or deduction), then you should edit the Standard Pay for that employee (found under the Payroll Details tab of their card). This miracle of efficiency means that next time, the pay for that employee will come up just right.
